Executive Assistant

Position Title: Executive Assistant

POSITION SUMMARY:

The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO, Board of Directors, and Executive Team, and managing the organization's office operations. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

 

RESPONSIBILITIES AND DUTIES:

  • Provide sophisticated calendar management for the CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgments, and recommendations to ensure smooth day-to-day engagements.
  • Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events. Maintain the board meeting calendar; develop, compile, and distribute presentation materials in advance of board meetings; record meeting minutes on behalf of Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
  • Complete a broad variety of administrative tasks that facilitate the CEO's ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parities; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgment to reflect CEO's style and organization policy.
  • Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, follow up appropriately. Have a sense for the issues taking place in the environment and keeping the CEO updated.
  • Anticipate CEO's needs in advance of meetings, conferences, etc.
  • Provide a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with Executive team.
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Works as part of a team with all TYC program staff.
  • All other duties as assigned for the overall benefit of the organization.

 

CONDITIONS OF EMPLOYMENT:

  • Must have reliable transportation and willing to travel within the cities TYC serves and out of state as needed.

REQUIRED JOB KNOWLEDGE, SKILL AND ABILITY:

  • Significant executive support experience, Nonprofit board experience is highly preferred.
  • Strong verbal and written communication skills
  • Exceptional organizational skills and impeccable attention to detail.
  • Expert proficiency with Microsoft Office and desktop publishing software.
  • High degree of professionalism in dealing with diverse groups of people, including but not limited to Board members, youth, parents, community partners, and funders.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Ability to maintain a high level of integrity and discretion in handling confidential information.
  • Excellent judgment is essential.

 

MINIMUM QUALIFICATIONS:

 

Education: Bachelor’s Degree or equivalent support experience in a professional human services environment.

 

Experience: Three or more years-demonstrated experience in an administrative/ program services support capacity in youth and human service organizations, community-based organizations, faith-based organizations, schools, civic organizations, corporations and/ or business. Experience should demonstrate use of most of the skills required for this position and in carrying out the kinds of tasks and duties assigned.

 

Licenses or certificates:

Administrative Assistant

Position Title: Administrative Assistant

Reports To: Chief Operation Officer

POSITION SUMMARY:

Provide high-level program support to the Chief Operating Officer (COO) by conducting research, program coordination, preparing statistical reports, handling information requests, data input and management, procurements, processing program documents, preparing correspondence, basic computer troubleshooting/software installation, receiving visitors, arranging and scheduling meetings.

 

 

RESPONSIBILITIES AND DUTIES:

  • Support Chief Operating Officer with activities related to TYC program development
  • Assist with program coordination – schedule program events and meetings (i.e. various orientation, interviews, registration, trainings) and outings, research and secure event locations
  • Assist with mailings, presentations, collating packets, filing, attend company functions/meetings, minutes.
  • Assist with developing program schedules and collecting worksite information – work with various organizations, diverse groups.
  • Data entry – attendance records, etc., maintain program database, complete and submit WIA enrollment forms and update client files.
  • Maintain and prepare invoices/payment vouchers and assist COO with other financial reporting Assist with intake and follow-up appointments.
  • Works with COO to provide documentation for contractual and program compliance.
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner. Maintain program waiting list and supportive documentation for intake and exits from the program.
  • Works with executive leadership to comply with COA Accreditation for the agency.
  • Works with TYC Staff to provide appropriate information for outcome reports and program compliance. Works as part of a team with all TYC program staff.
  • All other duties as assigned.

Position Title: SPF-PFS Community Organizer

QUALIFICATIONS:

 

Bachelor’s Degree in related field preferred. Ability to communicate effectively with youth and adults and building grassroots “systems change” coalitions. Previous experience with youth organizing, community organizing, leadership development and/or popular education is preferred. Ability to mentor, develop and empower community youth. Strong organizational and communication skills.   • Help lead the development and coordination of youth and adults in our focused zip codes in northeast. Detroit to build core leadership, youth organizing capacities, and substance use prevention development of members.
  • Lead the development of working relationships with ally parent, youth, and other organizations.
  • Support campus organizing of college students at local Higher Ed. Institutions.
  • Coordinate member participation in external actions and mobilizations.
  • Support the development and implementation of campaigns.
  • Assist the evaluator in conducting program evaluations and data gathering.
  • Participate and facilitate workshops with youth and adults or trainings at conferences.
  • Support Coalition Leadership team work as needed.

Receptionist

Position Title: Receptionist

POSITION SUMMARY:

The Receptionist will be the first point of contact for our agency. Receptionist will be responsible for offering administrative support across the organization. Receptionist will welcome guests and greet people who visit the business. Receptionist will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Successful Receptionists will have a pleasant personality, as this is also a customer service role. Receptionist should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is a plus. Ultimately, a receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.

 

RESPONSIBILITIES AND DUTIES:

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort, and distribute daily mail/deliveries

Prevention Program Facilitator

DO YOU WANT TO MAKE AN IMPACT ON THE LIVES OF YOUTH AND FAMILIES?

The Youth Connection is looking for a Program Facilitator who will work with the community and schools. This candidate will learn to provide evidence-based programs such as Botvin LifeSkills, Strengthening Families: For Parents & Youth Ages 10-14 (SFP 10-14) and I2D2 Fit N Fun Family Club. This person would be expected to work within a team and provide services for youth of all ages and their parents/caregivers to facilitate substance abuse prevention programs. These programs will be held in schools, local churches, businesses, and community facilities. Also, the candidate will ensure that the programs adhere to the agenda and guidelines already established. In addition, the facilitator will also follow up with families to make sure they will be present and input data after the close of each session. Finally, the candidate in the position will work closely with the SUD Director to establish a development plan to gain MCBAP prevention credentials within 2 years of employment and collaborate with other core staff to carry out the goals and objectives of all our Health, Wellness and Prevention Division (HWPD) Programs.

 

RESPONSIBILITIES AND DUTIES:

  • Facilitate weekly prevention programs (Botvin LifeSkills, SFP 10-14, I2D2 Fit ‘N’ Fun Family Clubs).
  • Assist in inputting data from the program into databases.
  • Represent TYC at prevention program-related meetings and functions as directed.
  • Attend program-related, staff and board meetings, as required; and
  • Assist with TYC-sponsored events, as needed.
  • Perform other duties as may be assigned by the SUD Director or the President and CEO.
